Checks between guests, done properly

A licence isn’t only paperwork. Alarms need testing and escape routes need to be clear every time guests change over. LetKeeper turns that into a quick checklist, for you or your cleaners, with a record that stands up later.

A checklist built from the licence

The changeover checklist starts with the checks the licence conditions call for:

  • Smoke and heat alarms tested and working
  • Carbon monoxide alarm tested and working
  • Fire exits and escape routes clear
  • Fire extinguisher or fire blanket in place

Add your own items, such as checking the hot tub cover or leaving the welcome pack, and hide the ones that don’t suit a property. Safety-critical items are marked as such and can’t be removed.

Each item gets Pass, Fail or N/A, with big buttons that are easy to use on the go. A failed item can take a note and a photo.

Works with no signal

Holiday cottages are often where the phone signal isn’t. A checklist can be completed in airplane mode, photos included. LetKeeper saves it on the phone and sends it when there’s signal again, keeping the time each check was actually done, not the time it was uploaded.

Every completed checklist is kept for good: you can’t edit it afterwards, only add to the record. That’s what makes the check log worth showing to a council.

When something fails

A failed item becomes a fault for the host, with the cleaner’s note and the time of the check. If the item is safety-critical, such as an alarm that doesn’t sound, the property is marked Not safe to let, with the reason, at the top of its page and on the home screen.

It stays that way until the fault is fixed and the fix is recorded. Nothing gets lost in a text message.

Cleaners in the loop, and no further

Invite your cleaners with a link. Each cleaner sees only the properties you give them, with their changeovers for today and the days ahead, and the checklist to run at each one.

You schedule changeovers and assign them to a cleaner; when they finish the checklist, you see it done. If you take a cleaner off a property, their scheduled changeovers there are cancelled, and the ones they finished stay in the record.

A co-host can help run the properties too, with the same view as you, apart from the plan and the account.

LetKeeper records the checks you and your team carry out. It is not legal advice and doesn’t replace a competent person’s inspection: the licence holder remains responsible for compliance.
